Picnics & Pinecones (“we,” “us,” or “our”) respects your privacy. This policy explains what information we collect through picnicsandpinecones.com (the “Site”) and our booking process, how we use it, and the choices you have.

1. Information we collect

Information you give us

When you fill out our inquiry form, book an event, or email us, we may collect:

  • Your name, email address, and phone number
  • Event details: date, location, guest count, occasion, theme, and color preferences
  • Details about the guest of honor, such as a child’s first name and age for a birthday setup
  • Allergies or sensitivities you tell us about so we can plan a safe setup
  • Billing information (processed by our payment provider, see below)
  • Anything else you choose to share in messages to us

Information collected automatically

When you visit the Site, we and our service providers may automatically collect:

  • Your IP address, browser type, device type, and general location (city level)
  • Pages you visit, how long you stay, and how you arrived at the Site
  • Information collected through cookies and similar technologies (see Section 5)

2. How we use your information

We use your information to:

  • Respond to your inquiry and plan your event
  • Send proposals, contracts, invoices, and reminders
  • Make your setup safe and personal (for example, avoiding allergens or putting a name on a banner)
  • Process payments
  • Understand how people use the Site so we can improve it
  • Keep records required for taxes and business operations
  • Protect our rights and follow the law

3. How we share your information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

We share information only with service providers who help us run the business, such as:

  • HoneyBook for client management, contracts, invoicing, and payments. Your card or bank information is handled by HoneyBook and its payment processors. We never see or store your full card number.
  • Google Workspace for email and documents
  • Our website host (HostGator) and WordPress to run the Site
  • Food or rental partners, only the details needed for your order (for example, a delivery time and location)

We may also share information if required by law, to protect our rights or someone’s safety, or as part of a sale or transfer of the business.

4. Photos from events

With your permission as described in our Terms & Conditions, we may photograph our setups and share them on the Site and social media. We focus on the setup, and we will not post photos in which children’s faces are recognizable without a parent’s written permission. To have a photo removed from our channels, email us at the address below.

5. Cookies and analytics

Cookies are small files stored in your browser. We use them only to keep the Site working properly. We do not currently use analytics or advertising cookies. If that changes, we will update this policy.

  • Essential cookies help the Site function (for example, remembering form entries or security settings).
  • Affiliate cookies: Some links on the Site are Amazon affiliate links. As an Amazon Associate, we earn from qualifying purchases. If you click one, Amazon may place a cookie to track the referral.
  • Social media: Buttons or embeds from Pinterest, Instagram, or Facebook may let those platforms collect information about your visit under their own policies.

You can block or delete cookies in your browser settings. Some parts of the Site may not work properly without them.

Do Not Track: Browsers have a “Do Not Track” setting, but there is no common standard for how websites should respond to it, so the Site does not currently respond to these signals.

6. Children’s privacy

Our services are booked by adults. The Site is not directed to children under 13, and we do not knowingly collect personal information directly from children. When a parent or guardian gives us details about a child for a party (like a first name, age, or allergies), we use them only to plan that event. If you believe a child has sent us personal information directly, please contact us and we’ll delete it.

7. How long we keep information

We keep inquiry and booking information for as long as needed to plan your event and follow up, and then as long as required for tax, accounting, and legal purposes (generally seven years). Inquiries that don’t turn into bookings are deleted after about 12 months. You can ask us to delete your information sooner (see Section 9).

8. How we protect information

We use reputable service providers with security safeguards, keep access to client information limited, and use secure logins on our business accounts. No system is perfectly secure, but we take reasonable steps to protect your information.

9. Your choices and rights

  • Emails: We only email you about your inquiry or booking. We don’t send marketing emails.
  • Access, correction, deletion: You can ask us what information we have about you, ask us to correct it, or ask us to delete it. We’ll respond within a reasonable time, and within any period required by law.
  • California residents: California law gives you the right to know what personal information we collect, how we use and share it, and to request deletion or correction. We will not treat you differently for making a privacy request. As noted above, we do not sell or share personal information for targeted advertising.

The Site may link to other websites, including Amazon, vendors, and social platforms. We’re not responsible for their privacy practices, so please read their policies.

11. Changes to this policy

We may update this policy from time to time. When we do, we’ll change the “Last updated” date at the top. Significant changes will be highlighted on the Site.
